Appointment calendars in healthcare and professional services accumulate historical booking data quickly. A busy GP surgery, dental practice, or outpatient clinic can generate thousands of appointment entries over a year. This historical data — past consultations, completed appointments, cancelled slots — remains in the calendar long after it has any practical value.
Removing it keeps calendars manageable, reduces clutter for staff and booking systems, and supports data minimisation principles that are increasingly important in healthcare settings.
Before clearing any appointment calendar data, confirm your organisation's data retention policy. Clinical records must typically be retained for a minimum period (7 years for adults in the NHS, longer for children). However, Google Calendar appointment entries are generally considered scheduling data rather than clinical records — your primary clinical record system (EMIS, SystmOne, etc.) holds the authoritative patient record.
Confirm with your Information Governance lead that clearing historical Google Calendar entries is consistent with your retention policy before proceeding.
