Resetting Practitioner Schedules in Google Calendar

Individual practitioner calendars — used by GPs, dentists, physiotherapists, counsellors, and other clinicians — accumulate appointment history rapidly. At the end of a service period, before a staff change, or as part of a periodic data clean-up, these calendars need to be reset.

This guide explains how to do this efficiently while maintaining the calendar configuration that your booking system depends on.

Common scenarios for resetting practitioner calendars

  • Staff departure: A clinician leaves the practice. Their appointment calendar needs to be cleared of historical patient bookings before the calendar is reassigned or archived.
  • Service period reset: At the end of a contract period or service year, historical appointments are no longer operationally relevant and can be removed.
  • System migration: Moving to a new booking or clinical management system and needing clean calendars as a starting point.
  • Data minimisation compliance: Clearing appointment data that has exceeded your retention period as part of routine GDPR compliance.

What to preserve

When resetting a practitioner calendar, you typically want to preserve:

  • The calendar itself — its name, colour, and ID
  • Sharing permissions — who has access and at what level
  • Integrations — connections to booking systems, clinical software, or other tools
  • Future appointments — any bookings already made for upcoming sessions

Resetting a leaver's calendar

When a clinician leaves, the usual process is:

  1. Export the calendar as an ICS archive for records retention if required
  2. Clear all historical appointments using WipeAway
  3. Reassign the calendar to a new practitioner, or archive it by removing sharing permissions

This approach avoids the alternative of deleting the calendar (which would break booking system integrations) while ensuring the new practitioner starts with a clean schedule.
