Shared team calendars accumulate meeting history, completed project events, and recurring series that build up over months and years. At some point — end of financial year, end of a project phase, after a team reorganisation — those events need to go. But the calendar itself, with all its sharing permissions and integrations, needs to stay.

When teams need to reset a shared calendar

  • End of financial or calendar year: A team meeting calendar with two years of history becomes unwieldy. A clean start makes it easier to navigate current and upcoming meetings.
  • End of a project: A project calendar that ran for 18 months is no longer relevant once the project closes. Clear it for the next project rather than creating a new calendar and losing the integrations.
  • Team reorganisation: When a team's structure changes, old meeting patterns, working groups, and recurring events from the previous structure can be cleared to give the new team a clean start.
  • New manager or team lead: Incoming leadership sometimes prefers to start with a clean calendar rather than inheriting months of meeting history.

What happens to shared calendars when you clear them

The calendar itself remains in their Calendar list with the same name, colour, and access level. Only the past events disappear.
