Organisations that manage staff shifts through Google Calendar — retail, hospitality, healthcare support services, logistics, security, and facilities teams — accumulate months of historical rota data in shared calendars. At the end of each rota period, or at the start of a new season or contract, those historical entries need to be cleared.
Why shift rota calendars need regular clearing
- Usability: Staff navigating a rota calendar cluttered with months of past shifts struggle to see their current and upcoming schedule clearly
- Manager efficiency: Rota managers who need to make schedule changes cannot work efficiently in a calendar that shows past and present shifts mixed together
- New rota periods: When a new season, contract period, or staffing arrangement begins, starting with a clean calendar avoids confusion with the old rota
- Staff changes: When team composition changes significantly, clearing the old rota and starting fresh reflects the new team structure clearly
The clearing process
- Confirm the end date of the current rota period — this is your cut-off date
- Export the rota calendar as an ICS archive if payroll or HR records require a historical reference
- Sign into wipeaway.app with edit access to the rota calendar
- Select the rota calendar(s)
- Set the cut-off date to the end of the current rota period
- Review the event count — for a busy rota calendar this may be in the thousands
- Confirm the deletion
Future shifts already added to the calendar for the next rota period are preserved. Only historical entries are removed.
Recurring shift patterns: If shifts are set up as recurring events (e.g. "Monday 6am–2pm shift — John"), WipeAway clears past instances of all recurring series automatically. Future instances remain in place.
After clearing
The rota calendar is clean and ready for the next period's shifts to be added. All staff who had access to the calendar retain their access. The calendar structure and any integrations with HR or payroll systems remain intact.
