Shared classroom and room booking calendars are among the most critical infrastructure in any school or university using Google Workspace. They are shared with multiple staff members, integrated with booking systems, and sometimes visible to students or external parties.
At the end of each year, they accumulate hundreds or thousands of past bookings that need to be cleared. But clearing them incorrectly — by deleting the calendar — causes significant disruption. This guide explains how to do it properly.
When you delete a Google Calendar and create a new one to replace it, the new calendar has a different internal ID. This means:

Once complete, open a sample of the room calendars in Google Calendar and verify that past bookings are gone, future bookings are intact, and sharing permissions are unchanged. Then inform the relevant staff that the room calendars have been reset and are ready for the new year.
