Should I inform my team before cleaning a shared calendar?

When events are removed from a shared Google Calendar, every person who had access to that calendar loses visibility of those events — not just the person who ran the deletion. This is expected behaviour, but it can be disruptive if team members have not been warned.

What to communicate before a shared calendar clean-up

• Which calendar(s) will be cleared
• What cut-off date will be used (so people know which events will be affected)
• When the clean-up will happen (give at least 24–48 hours notice)
• What to do if they need to save any information from past events before they are cleared

What team members might want to save

• Notes or action items recorded in event descriptions
• Attendee lists from past meetings
• Links to documents, recordings, or meeting notes attached to calendar events
