When an employee leaves an organisation, their Google Calendar may contain months or years of meeting history, recurring series, and shared event data. As part of the offboarding process, IT teams often need to clear this data — particularly from shared calendars where the departing employee's events remain visible to colleagues.
If the departing employee owns shared calendars that other staff depend on, transfer ownership before their account is suspended:
Once ownership is transferred (or if you are managing their calendar via admin access), use WipeAway to clear historical events:
Events that the departing employee added to shared team calendars (as opposed to their own calendar) will remain in those calendars unless separately cleared. Decide whether to retain these events (they may still be relevant to the team) or clear them as part of the offboarding.
Data retention: Some organisations have policies requiring that employee calendar data is retained for a period after departure (for legal discovery or HR purposes). Confirm your data retention policy before clearing any calendar data as part of offboarding.
